About the role
The GelBottle Inc. is on an exciting growth journey, and we're looking for a Sales Administrator to be part of our vibrant, founder-led company. You’ll play a key role in keeping our US Sales operations running smoothly and efficiently by managing sample shipments, coordinating communication around new orders, and working closely with the Customer Service team to resolve any order-related issues.

- Accurately process and input customer sales orders into the fulfillment system to ensure timely and error-free delivery.
- Coordinate sample shipments and promotional product packs for prospects and existing customers, as requested by the sales and marketing teams.
- Communicate with customers regarding new orders, updates, and any issues, ensuring a smooth and professional experience.
- Collaborate with the Customer Service team and third-party logistics provider to resolve order discrepancies and confirm fulfillment.
- Support the sales team with administrative tasks, including lead routing, record keeping, and coordination of meetings, exhibitions, and promotional events.
This is a hybrid role based at our Portland, Oregon HQ.
About you:
This role is all about precision, teamwork, and keeping things moving. You’ll be central to delivering a seamless experience for our customers and helping our internal teams stay aligned, and so we're looking for:
- Proven background in sales support, order processing, or administrative roles, ideally within a fast-paced environment.
- Strong attention to detail and accuracy in data entry, with excellent written and verbal communication skills.
- Customer-focused mindset with the ability to manage multiple priorities and solve problems proactively.
- Comfortable using fulfillment systems and CRM tools; experience with NetSuite is a plus.
- Prior experience working with third-party logistics providers or within the cosmetics or similar consumer goods industry is preferred.
